Account Settings
The Account page gives you full visibility into your plan usage, security keys, data residency, and session policies — everything you need to keep your BI Pixie deployment running smoothly. Navigate to Account in the BI Pixie Portal sidebar to access this page.
Account Info
The Account Info section displays your name, email, and role (Admin or Member) from Azure AD, along with your license key. Admins see the account license key. On Enterprise plans with multiple licenses, members see the license key of the license they are assigned to.
If a payment has failed (past-due status), an additional row appears with a link to Update payment method, which opens the Stripe billing portal. For accounts billed through Azure Marketplace, this link is replaced with Check Azure Billing, which opens the Azure portal where you can manage your Marketplace subscription.
Profile
The Profile section lets you add optional details that help BI Pixie personalize your experience: company, job title, department, city, state/region, country, and phone. Click Edit to update your profile and Save to apply changes.
Plan and Usage
The Plan & Usage section shows your current subscription and resource consumption.
Plan Information
Displays your plan name (e.g., "Pro Plan"), the plan start date, and the renewal or expiry date.
License Utilization
Two metrics with progress bars:
- Reports with Pixies — The number of tracked reports out of your plan limit.
- Billed Sessions — Your session count within the rolling 30-day window, out of your plan limit. An info icon opens an explainer describing how billed sessions are calculated.
Limits
- Data Refreshes — The number of data refreshes used today versus your daily limit.
- Report Replacements — The number of report slot releases used versus your plan allowance, with a count of remaining releases.
Enforcement Banners
When usage thresholds are reached, banners appear in the Plan & Usage section:
- Usage limit warning — You are approaching your plan limits.
- Event collection paused — Plan limits exceeded; collection has stopped.
- Billed Sessions limit reached — Session limit reached under the "keep collecting" policy; oldest data is being trimmed.
- Data refresh access blocked — Daily refresh limit exceeded, with an estimated restoration time.
Admins see links to View Plan Details and Change Plan for managing subscriptions.
Session Limit Behavior
This section lets administrators configure what happens when your Billed Sessions limit is reached. Your cost is always fixed. Reaching the limit will never result in additional charges.
Two policies are available:

|---|---|
| Preserve existing data | Stops collecting new events when the limit is reached. Tracking resumes automatically once your rolling 30-day count drops below the limit. |
| Keep collecting | Continues tracking by removing oldest event data first. Auto-deletion stops as soon as your usage is back below the limit. |
You can also configure a notification threshold: check Notify me when usage reaches [N]% of my limit and enter a percentage between 1 and 100.
Click Save to apply changes. Only administrators can change this setting. Members will see a read-only view with a note that only admins can make changes.
Security
The Security section manages your API tracking keys. This section is hidden when your account is suspended.
Account Tracking Key
Your account tracking key is used to authenticate telemetry data sent from your tracked reports. Without it, usage data is rejected.
The key is masked by default. You can reveal the full key or copy it to your clipboard.
Rotating the key (admin only):
- Click Rotate Key.
- A warning will explain that reports with Pixies will pause tracking until you update them with the new key.
- Click Confirm Rotate to proceed.
- After rotation, navigate to Add Pixies and update your reports so they use the new key.
Per-Report Tracking Keys
On Enterprise and Trial plans, administrators can enable per-report tracking keys. When enabled, each report gets its own dedicated tracking key. If one key is compromised and rotated, the others continue working.
- Click Enable to turn on per-report keys.
- To disable, you must type your account name to confirm, as disabling will cause reports with dedicated keys to pause tracking until they are updated with the shared account key.
- When enabled, new reports can use dedicated tracking keys.
Individual report keys can be rotated from the Managed Reports page using the action menu on each report.
Data Region
The Data Region section shows where your analytics data is stored (e.g., "UK South (London)"). Region changes require a manual review and historical data cannot be transferred to a new region. This section is hidden when your account is suspended.
Requesting a Region Change
Administrators can request a region change by expanding the "Request a different region" section:
- Move to available region — Migrate to a region BI Pixie already supports. Your new region starts fresh; historical data from the current region cannot be transferred.
- Request new region — Request a region not currently supported. The BI Pixie team reviews these requests and prioritizes based on demand.
To submit a request:
- Select the request type (migration or new region).
- Choose the target region.
- Select an urgency level and add a note explaining your reason.
- Click Submit Migration Request or Submit Region Request.
Leave Account
If you are not the sole user on the account, you can leave the account by signing out from the Account page. This removes your access to the account. Admins who want to leave must ensure another admin exists on the account before leaving, so the account is not left without an administrator.
Danger Zone
The Danger Zone section (admin only, active accounts only) allows you to permanently delete your BI Pixie account.
Warning: Account deletion is immediate and cannot be undone. You must remove all team members before you can delete the account.
Deleting your account will immediately:
- Stop tracking on all reports and revoke your API key.
- Remove portal access for all team members.
- Permanently delete all telemetry data, configurations, and reports.
- Cancel your subscription (for paid plans).
To proceed, click Delete Account, type DELETE to confirm, and click Delete Account again. You will be signed out after deletion.
