Licenses Enterprise

As BI maturity grows in your organization, different teams or business units may need their own isolated view of engagement data, separate report quotas, and independent billing limits. Licenses let you divide a single BI Pixie account into self-contained scopes so each team can use BI Pixie with their own reports without accessing other teams' telemetry data.

The Licenses page lets administrators manage multiple licenses within a single BI Pixie account. Each license comes with a separate storage container, report limits, and billed session limits. Members assigned to a license can only see the engagement data from their reports.

This page allows you as an administrator in BI Pixie Portal to divide your BI Pixie plan into sub-plans.

Your account starts with a single Primary license, which is the shared license that all members are assigned to by default.

When to Use Licenses

Multi-license management is useful when you need to:

  • Separate tracking by department, team, or business unit (e.g., Marketing, Sales, Finance).
  • Assign specific report and billed session limits to different groups.
  • Assign team members to specific licenses so they only see relevant data.

Add a New License

To add a new license:

  1. Click Add License at the top right of the page.
  2. In the dialog, enter the following:
    • Label — A descriptive name for the license (e.g., "Marketing", "Sales").
    • Assigned Reports — The number of report slots to assign to this license. The available unassigned count is shown in parentheses next to the label.
    • Assigned Billed Sessions — The number of session slots to assign. The available unassigned count is also displayed.
  3. Click Add License. The new license will appear in the list.

Editing a License

To edit a license:

  1. Click the license card to expand it.
  2. Click Edit in the expanded card.
  3. An inline form replaces the detail grid. Modify the label, assigned reports, or assigned billed sessions as needed. Each assignment input shows an "(X available)" label that reflects the maximum you can assign to this license.
  4. Click Save to apply changes. Only the fields you changed will be updated.
  5. Click Cancel to discard changes and return to view mode.

Assigning Members

To move an existing team member to a license:

  1. Click the license card to expand it.
  2. Click Assign Member.
  3. An inline dialog appears with a dropdown of team members who are not already on this license. Each option shows the member's name, email, and their current license assignment.
  4. Select a member and click Assign.

If the selected member is the last member on another dedicated license, a warning dialog appears explaining that moving them will leave the source license empty and its historic telemetry data inaccessible. You can confirm the move or cancel.

Deleting a License

To delete a license, select the license card and expand it:

  1. A Delete license button appears at the bottom of the expanded card.
  2. Clicking it opens a confirmation dialog that explains the impact:
    • All members will be moved back to the Primary license.
    • Historic telemetry data in this license's container will be permanently deleted.
    • Managed reports remain intact. Members can resume tracking by updating Pixies to their existing reports.
  3. Click Delete License to confirm. The action cannot be undone. After deletion, the card is removed and you return to the Licenses list.

Note: The Primary license cannot be deleted.

Setting Up the Dashboard for Each License

For each license, we recommend that the first assigned member installs the BI Pixie Dashboard from the Overview page. The dashboard will connect to that license's data container. Once installed, the member can share the Power BI workspace with other members assigned to the same license, so the entire team can view the engagement data.

Each member who shares the same license has access to the telemetry data in their license's container. Any of these members can sign in with their Microsoft 365 account to grant the BI Pixie semantic model access to refresh the data.
