Team Management

Enable BI developers across your organization to measure and optimize their Power BI reports with BI Pixie. The Team page lets administrators invite members, assign roles, and onboard new team members to your BI Pixie account.

Navigate to Team in the BI Pixie Portal sidebar to access this page.

Members Pro

The members list shows everyone who has access to your BI Pixie account, along with a count of used and available member slots. Each row shows the member's name, role, email, and join date. When multi-license is enabled (Enterprise), the assigned license is also shown.

Roles

BI Pixie supports two roles:

Role Capabilities
Admin Full access to all settings, team management, license management, account settings, billing, and all tracking features.
Member Can add Pixies to reports, view managed reports, configure settings (within policy constraints), and access data management. Cannot manage team, licenses, or account-level settings.

Note: On the Standard plan, only the Admin role is available. The Member role is supported on Trial, Pro, and Enterprise plans.

Changing a Member's Role

To change a team member's role:

  1. Click the three-dot menu on the member's row (you cannot change your own role).
  2. Select Change to Admin or Change to Member.
  3. The role updates immediately.

Assigning Members to Licenses Enterprise

On Pro plans, all team members share a single license and can access the same data container. This means every member sees the engagement data from all tracked reports in the account.

On Enterprise plans, administrators can create multiple licenses, each with its own data container, report limits, and session limits. You can assign members to specific licenses so they only see the engagement data from their own reports.

To assign or reassign a member to a license:

  1. Click the three-dot menu on a member's row. This option only appears for members with the Member role — Admins have access to all licenses automatically.
  2. Select Change license.
  3. Choose the target license from the dropdown.
  4. Click Assign to confirm.

Removing a Member

  1. Click the three-dot menu on the member's row.
  2. Select Remove from team.
  3. Confirm the removal. The member loses access immediately.

Inviting Team Members

To invite a new member to your BI Pixie account:

  1. Click Invite Member.
  2. Enter the member's email address and select a role (Admin or Member). On Enterprise plans with multi-license, you can also pre-assign a license.
  3. Click Send Invitation.

If your plan's member limit is reached, you'll need to upgrade or remove a member before sending new invitations.

Pending Invitations

The Pending Invitations section (admin only) shows invitations that have been sent but not yet accepted. Click Revoke to cancel a pending invitation.

Access Requests

When someone from your Azure AD tenant tries to sign in and your account already exists, they can submit an access request or start their own separate trial. Access requests appear in the Access Requests section (admin only).

For each access request, you can click Approve to grant access or Deny to reject it. The requesting user will not see your identity when they submit a request. If you deny a request, the user can always contact support to start their own subscription.

Member Limits

Each plan includes a specific number of team member slots:

Plan Members Roles Available
Trial Up to 3 Admin, Member
Standard Up to 2 Admin only
Pro Up to 10 Admin, Member
Enterprise Up to 100* Admin, Member

When all slots are in use, you will need to upgrade your plan or remove existing members before inviting anyone new. On Enterprise plans, you can request more than 100 members by contacting us.
