Plans and Billing

BI Pixie plans scale with your organization. Pick the tier that matches your needs, set the number of reports and sessions you want to track, and choose how you pay. You can adjust your plan at any time as your usage grows.

Accessing the Plans Page

The Plans page is available to account administrators only. Navigate to Plans in the BI Pixie Portal sidebar, or click View Plan Details from the Account Settings page.

Available Plans

BI Pixie offers four plan tiers. Each tier builds on the previous one, adding more features and higher limits.

Plan Description
Trial Starts automatically when you first sign in. Includes all features for a limited evaluation period. No payment required.
Standard Core tracking features including user identity capture, visual interaction heatmaps, and slicer and visual data tracking.
Pro Everything in Standard, plus granular settings for workspaces and reports, in-report feedback controls and surveys, and Row-Level Security (RLS) auditing.
Enterprise Everything in Pro, plus per-business-unit licensing, per-license data isolation, per-report tracking keys, data sovereignty, and self-hosting options.

Choosing Reports and Sessions

After selecting a plan tier (Standard or Pro), configure two quantities:

  • Reports — The number of reports you want to track. Each plan has a minimum.
  • Billed Sessions — How many sessions you need per month.

The price updates in real time as you adjust the quantities.

Session Calculator

Not sure how many Billed Sessions you need? Use the interactive Session Calculator to estimate your monthly usage.

The calculator asks four questions:

  • How many end users view your reports?
  • How many reports do you track?
  • How many reports does each user typically open?
  • How often do they view reports? (Daily, a few times a week, weekly, a few times a month, or monthly)

Based on your answers, the calculator shows an estimated monthly Billed Sessions count with a formula breakdown. Use this estimate to choose the right session quantity for your plan.

Your cost is always fixed. Reaching your Billed Sessions limit will never result in additional charges. You choose how BI Pixie behaves at the limit in your Account Settings.

Volume Discounts

When you add extra reports beyond your plan's base amount, volume discounts apply automatically. Discounts increase at higher quantities, and a breakdown shows the unit price and savings for each tier.

If you need more reports or sessions than the slider allows, or your estimated cost exceeds $10,000/month, contact sales for custom pricing.

Billing Cycle

Choose between Monthly billing (cancel or change anytime) and Annual billing (pay for 10 months, get 12 — 2 months free).

If you already have an active subscription, switching the billing cycle will show a proration preview before applying the change. The price panel always shows a real-time breakdown of report costs, session costs, any annual discount, and the total.

Billing Provider

BI Pixie supports two billing providers:

  • Credit card (Stripe) — Pay directly with a credit card. This is the default option.
  • Microsoft Marketplace — Bill the subscription to your Azure account. Requires purchasing BI Pixie through the Azure Marketplace first. Your existing Azure billing and invoicing applies.

Switching Billing Providers

If you have an active subscription, a link appears below the action button to switch billing providers (e.g., "Switch to Microsoft Marketplace billing" or "Switch to credit card billing"). Clicking this initiates the switch process. The transition happens at the end of your current billing period to avoid service interruption.

Checkout Flow

The checkout experience depends on your billing provider.

Stripe (Credit Card)

  1. Configure your plan, reports, sessions, and billing cycle.
  2. Click Subscribe.
  3. A popup window opens with the Stripe checkout form. Enter your payment details there.
  4. After successful payment, the popup closes and you are returned to the portal with a success banner confirming your new plan.

If you close the checkout popup before completing payment, a message confirms that checkout was cancelled and no changes were made.

Popup blockers: If your browser blocks the checkout popup, allow popups for the BI Pixie Portal and try again.

Microsoft Marketplace

  1. Select "Microsoft Marketplace" as your billing provider.
  2. Click Subscribe via Microsoft Marketplace. You will be redirected to the Azure Marketplace to complete the purchase.
  3. After completing the purchase in the Azure Portal, you are redirected back to BI Pixie to confirm the activation.

For Marketplace subscriptions, the Plans page includes a link to manage the subscription in the Azure Portal.

Changing Your Plan

Once you have an active subscription, the Plans page supports several types of changes. The experience differs slightly between Stripe and Marketplace billing.

Upgrading to a Higher Tier

  1. Select the higher-tier plan card.
  2. Adjust reports and sessions as needed (your current quantities carry forward, floored at the new plan's minimums).
  3. Click Review & confirm.
  4. A proration preview dialog shows the credits for your remaining time on the old plan and charges for the new plan. Review the line items and total.
  5. Click Confirm to apply the upgrade. The change takes effect immediately.

For Marketplace subscriptions, the plan change is submitted to Microsoft for confirmation. The portal polls for the update, which typically takes 5 to 30 seconds. You will receive a confirmation email from Microsoft when the change takes effect.

Changing Quantities

To adjust report or session counts on your current plan:

  1. Use the steppers to increase your report or session count. The price updates in real time.
  2. Click Review & confirm.
  3. For Stripe: a proration preview shows the prorated credits and charges. Click Confirm to apply immediately.
  4. For Marketplace: a review dialog shows the new quantities. Click Confirm. Quantity changes take effect at your next billing period.
Reducing quantities: You can increase reports and sessions directly, but reducing below your current quantities requires a plan adjustment request. Click the link that appears when pressing the minus button at the minimum to submit a request.

Switching Billing Cycle

Toggle between Monthly and Annual in the price panel. If you have an active Stripe subscription, the change is applied via the proration preview flow. The price panel immediately reflects the new billing cycle so you can compare before confirming.

For Marketplace subscriptions, billing cycle changes must be made in the Azure Portal. The billing cycle toggle is hidden when your subscription is billed through Microsoft Marketplace.

Cancellation and Renewal

Cancelling Your Subscription

When you cancel your subscription, it does not end immediately. Instead:

  • Your plan continues until the end of your current billing period.
  • A warning shows the date your plan will end. After that, your Pixies will stop tracking and you will lose access to report management.

Keeping Your Plan (Reversing a Cancellation)

If you change your mind after cancelling, you can reverse it before the billing period ends:

  1. Click Keep this plan on the plan card, or click Keep my plan in the configurator banner or in the action button area.
  2. A confirmation dialog shows your current plan details (reports, sessions, billing cycle) and the amount you will be charged on your next billing date.
  3. Click Confirm & keep plan. No additional charges apply today. Your existing payment method is used at the next billing cycle.

Expired Plans

After your billing period ends following a cancellation, your plan expires. You can click Renew to restart your previous subscription, or select a different plan.

Enterprise Plans

Enterprise plans are designed for organizations that need per-business-unit licensing, data isolation, per-report tracking keys, data sovereignty, or self-hosting options. Enterprise pricing is custom and requires a conversation with our sales team.

To get started with Enterprise:

  • Click Contact Sales on the Enterprise plan card.
  • Fill out the contact form with your requirements.
  • Our team will follow up with a custom quote.
